External Course Subscription Packages

External courses purchased via a subscription package are visible only to users that have a license allocated to their account. That license can be removed from users and given to others.

Each subscription has a specific number of max quota (licenses) and an expiration date. 

Each subscription is a package of courses by a specific content provider.

In the left navigation, make sure you are in the Academy Workspace.

Here you can find them under External Courses -> Licenses as well as External Courses -> Categorize Purchased Courses

Users with allocated licenses will be able to find the courses in the Learner Workspace under My Training -> Training. On the right side, there will be a navigation bar showing the subscription and its categories.

 

Notes:

  • When a user (with an allocated license) gets deactivated, then the system gives their license back to the Academy. This is a background process and the time frame depends on the load of the system at that time. It can be completed instantly or it can take up to a few hours.
  • When subscription courses get added to a curriculum, the user needs a license to take the course. If they get assigned the license after they get assigned the curriculum, the subscription course does not get automatically assigned: the user has to self-enroll in the course.
  • If you see the wording “Already Canceled” next to a subscription that hasn’t expired yet, this means that the auto-renewal has been turned off. The subscription remains active until its expiration date, and you can continue using it during this period. Once the subscription expires, access to the associated content will be discontinued.
  • As an admin, you may still see expired package subscriptions in the subscriptions list. However, once a package subscription has expired, you will no longer be able to assign or remove licenses for that package. The related assign/remove license options will not be available, and direct access to those pages will be restricted.
