Setting Terms of Use for Your Academy

 
As an academy Admin, you can set terms and conditions for your academy's use. Users determined by the criteria you set would have to agree to these terms in order to enter the academy for the first time. 

 

Defining Your Terms

In the left navigation, make sure you are in the Academy Workspace.

When in the Academy Workspace, select Academy Admin for all Academy Administration options. 

Select Configuration and then General.

Then select the Academy Terms tab.

Previously created rules are shown in a list on top, if there are any. Selecting them will bring up the terms and its rules.

You can customize the title and replace the default “Terms and Conditions” text with your own wording. Then, enter the description for the terms accordingly. You can also select the language in which the job title will be displayed.

Once you have completed the description, select the Jobs, Units or Above Units to which the terms will apply.

Alternatively, you can choose to apply the terms to all members of the academy.

Before saving, make sure to enable the terms if you want them to be active and visible to users.

Using Terms

When users matching the terms rule enter the academy for the first time, they will automatically be presented by the terms, and will need to agree to them before proceeding. Those not included in the terms rule will not need to agree to these terms.

At the top of the modal, learners can use the Language dropdown selector to view the terms in their preferred language before accepting them. This ensures the content is accessible and easy to understand prior to proceeding.

The Language dropdown displays only the languages for which Academy Terms have been configured within the academy.

Availability

  • The Language dropdown is displayed only when Academy Terms are available in more than one language.
  • If Academy Terms are configured only in English, the Language dropdown is not displayed.

Default Language

  • If a user has a preferred language that matches a language configured in an Academy Terms Rule, that language is selected by default.
  • If no matching Academy Terms language is available, English is selected as the default language.

Changing the Language: Selecting a language from the dropdown updates the displayed Academy Terms to the corresponding translation for that language.
