In some cases, a user who is reactivated in your academy may still be assigned to training via an automated rule, even if they no longer meet the criteria defined by that rule. Below is an overview of this behavior and the sequence of events that can lead to it.
Scenario Overview
1. Initial Assignment via Rule
The user was originally assigned to a course or curriculum based on an automated rule. This rule also had the option "Unassign when criteria not met anymore" enabled.
2. User Deactivation
The user was deactivated in the system and they were automatically unenrolled from any courses to which they were previously assigned.
3. User Reactivation
The user was later reactivated and their training was reassigned with the enrollment reason marked as “Reactivation”. Because the assignment reason has changed and the training is no longer linked to the original rule, the rule’s setting to “unassign when criteria are no longer met” will not affect these assignments.
Expected System Behavior
- Upon deactivation, the system automatically unassigns any training that was assigned through rule-based criteria.
- When the user is reactivated, the system reassigns the same training, regardless of whether the user currently meets the rule’s criteria.
- In this scenario, the assignment reason will appear as “Reactivation”, and the training will remain assigned to the learner.
Important Note
This behavior is designed to ensure that training previously assigned to a user is retained when they return to the platform. It reflects the system’s assumption that returning users may still require access to their prior training, even if their organizational profile or eligibility has changed.
