As you explore the new Schoox experience, you may notice that some administrative settings are organized a little differently than they were in the classic experience. This is part of our ongoing effort to enhance usability and create a more intuitive, streamlined platform.
This guide walks you through how to locate and manage a specific permission that appears under a new location in the new interface.
The Situation: Managing “External Member” Permissions
In the classic Schoox experience, you could control access to Shared Resources by defining who could read or store them, including the option to grant access to External Members.
To set this up, you needed to go to Admin Panel > Your Academy > Resources and, under the setting “Who could read content from the Shared Content category of your Resources?”, select the checkbox for your External Members.
When transitioning to the new experience, you might look for this same setting under its old name and not immediately see it. Rest assured—your data and permissions remain fully consistent between both interfaces, as they share the same database. Some settings have simply been renamed or reorganized to align with the improved structure of the new UI.
The Updated Approach: Managing the “Guest” Role
In the new Schoox experience, you can manage the Guest role’s permissions for accessing Shared Resources by following these steps:
Navigate to the Academy Workspace.
Select Organization from the Academy Admin section.
Select Manage Jobs.
Open the Roles tab.
Choose the Guest role.
Under the Permissions tab, locate the setting “Read content in Shared Content category of resources”.
Adjust this permission as needed and click Save.

By managing permissions under the Guest role, you maintain the same level of control you had with External Members in the classic experience—just through a clearer and more unified permissions framework.
This structure makes it easier to find and adjust access settings across roles, ensuring that your users have the right permissions while benefiting from the streamlined design of the new Schoox experience.
