Activating Notifications for Course Enrollment Requests

Are you setting up a new team—such as your HR department—to receive New Course/Learning path enrollment request notifications, but notice that the messages aren’t reaching them yet? This guide will help you understand why this happens and how to ensure your designated team members receive these notifications as intended.

Why this happens

In Schoox, notification delivery depends not only on being listed as a recipient but also on having the correct permissions associated with the recipient's job. For the New Course/Learning path Enrollment Request notification, the system sends alerts only to users who have the Approve Self-enrollment Requests permission enabled in their assigned job.

If a user is selected as a recipient but doesn’t hold this permission, they won’t receive the notification—even if they are part of the intended group (for example, HR staff or department managers).
 

How to ensure the right users receive notifications

To make sure your designated team members can receive and act on enrollment requests, follow these steps:

  1. Locate the Role
    Go to the area where you manage Jobs (Academy Workspace > Academy Admin > Organization > Manage Jobs > Jobs tab) and locate the relevant job (e.g. the custom Human Resources job)

  2. Edit Permissions
    Select the option to Edit Permissions for that specific job.

  3. Activate the Required Permission
    Find and enable the checkbox for Approve Self-enrollment Requests. This grants users the authorization to receive and process enrollment request notifications. Please note that the Assign Training permission must also be enabled.

  4. Save Changes
    Click Save Permissions to apply the update.

What to expect next

Once the permission is active, users in the designated role will begin receiving New Course/Learning path enrollment request notifications right away. This ensures that the appropriate team members stay informed and can efficiently review and approve enrollment requests.

By confirming the correct permissions are in place, you’ll ensure smooth communication and keep your teams aligned when managing course and Learning path enrollments.
