Updating Due Dates on Mass Assignments Without Re-notifying Users

Have you ever performed a mass assignment but realized afterward that you forgot to include a due date? You need to go back and add the due date for all those users, but you definitely don't want to send out new, unnecessary notifications.

Depending on how you want to perform the update, there are two available options outlined below.

Option 1: Updating the due date manually

By default, manually updating due dates through the UI triggers learner notifications, provided these notifications are enabled in your academy. If you plan to update due dates manually and do not want learners to receive notifications, you must temporarily disable the relevant Academy Notifications before proceeding.

Temporarily Disable Due Date Notifications

To temporarily disable due date notifications, follow the steps below.

In the left navigation, make sure you are in the Academy Workspace.

In the Academy Workspace, navigate to Notifications, and then select Academy.

From the left-hand side of the screen, select the Courses & learning paths Training filter type.

Locate the following notifications:

  • Course due date has been added, updated, or removed
  • Learning path due date has been added, updated, or removed

Temporarily disable the notifications as needed.

Once you complete the required updates, make sure to re-enable the relevant notifications if you want them to remain active in your academy.

 

Configuration

For a smaller number of users, you can manually update the due date for the course on each user's profile:

Go to Team Workspace > My Team dashboard > Training

In the left navigation, make sure you are in the Team Workspace.

When in the Team Workspace, select My Team Dashboard and then select Training.

On the Training dashboard page, you can use either the Classic Dashboard or the New Dashboard.

 

Classic Dashboard

1. Find each user and click View Reporting.

2. Select the relevant training tab under the user's profile, find your course/learning path, and click the wrench icon next to the progress bar.

3. Add your due date and click Save

New Dashboard

1. Locate the desired training item for which you want to update the learners’ due date, then select it to open its details page.

2. On the right side of each learner’s row, select the three-dot menu and choose Edit Due Date from the available options.

3. This option opens a modal where you can set the due date. Once you have entered the desired date, select Save.

Option 2: Using the Mass Assignment Template (Recommended for Bulk)

The most efficient way to update multiple users at once is by using the Mass Assignment Completions Template and utilizing the "Send Notifications (Y/N)" column:

1. Access Assignment Tool.

In the left navigation, make sure you are in the Team Workspace.

When in the Team Workspace, select Self-Paced Training and then select Assign Training.

2. Select the appropriate tab (Courses or Learning paths).

3. Download Template: Click Download Template to get the Mass Assignment Completions spreadsheet.

4. Fill in User, Training and Due Date Data: Populate the spreadsheet with the user details, the training details (Course ID or Curriculum ID) and the new due date.

5. Disable Notifications: In the template, there is a column dedicated to notifications. Type "N" into this column for all entries. This critical step prevents the system from sending a notification.

6. Upload the Template: Upload the completed spreadsheet back into the system using the Upload File button.

The system will process the file, update the due dates for the existing assignments, and will not send any new notifications to the users, giving you the clean update you need.
