As your learning programs evolve, you may find that certain courses or events are no longer needed in active use. Archiving is a helpful way to keep your environment organized while preserving historical data. This article explains what you can expect when you archive a course or an event, and how this action affects certificates and reporting.
Archiving a Course: What Happens to Certificates?
If you archive a course that is no longer in use, you can do so with confidence knowing that nothing changes for learners who have already completed it.
Learners who earned a certificate for the course will continue to have full access to their certificates.
Any certificate expiration rules that were set up will continue to apply exactly as defined.
Past completions remain intact and available for reference.
Archiving simply removes the course from active visibility and prevents new learners from enrolling, helping you keep your catalog clean and focused—without impacting historical achievements.
Archiving an Event: How Reporting Is Affected
When you archive an event, all of its historical information is safely preserved.
Event status, attendance, and completion data are fully retained.
Archived events no longer appear on the default dashboard view, but you can easily access them by enabling the Archived filter.
This approach allows you to maintain accurate historical records while keeping dashboards and reports streamlined.
Archiving a Course or Learning Path With a Connected Event
If a course or learning path you’re archiving has an associated event, you’ll be asked how to handle it: leave the event active and disconnect it from the course or learning path (it becomes a standalone event), or archive the event and keep it connected, which keeps its attendance and completion records tied to the course or learning path.
Keeping the connection means the course or learning path’s own reports -- in report builder, the API, and the relevant dashboard views -- continue to include that event’s attendance and completion data. If you later restore the course or learning path, any events that were archived together with it are restored too, with their attendance records intact; an event that was already archived beforehand stays archived.
By using archiving strategically, you maintain a clear, organized learning environment while ensuring past accomplishments and data remain accessible whenever you need them.
