Understanding On-the-Job Training Completion Visibility in Manager Dashboards

Overview

You may occasionally notice a situation where a course that includes an On-the-Job Training (OJT) component appears fully completed for learners, yet a manager’s reporting dashboard shows the OJT as only partially complete. This can feel confusing at first—especially when managers have already marked the course as completed on behalf of learners.

This use case explains why this behavior can occur and how you can ensure On-the-job Training completion is reflected accurately across all dashboards.

What You’re Seeing

In this scenario, you may observe the following:

  • An administrator marks a course as complete for their learners.

  • The learners see the course reflected as 100% complete.

  • In the manager’s reporting dashboard, however, the OJT tasks still appear incomplete, and the overall On-the-job Training progress shows as partial.

  • Even after the administrative completion update, the manager’s dashboard does not reflect full completion.

This behavior is tied to how OJT sign-off settings are configured for the course.

Why This Happens

Each OJT includes a “Sign-off required for On-the-Job Training completion” setting. When this setting is configured as “Learner only”, the system expects the learner’s sign-off to finalize the OJT step.

If the learner does not personally complete the sign-off—even if a trainer or manager has marked the course as complete—the OJT step is not automatically marked as completed in reporting views.

Recommended Configuration

To ensure On-the-Job Training completion is consistently reflected for managers, you can adjust the OJT sign-off requirement to one of the following options:

  • Trainer only

  • Trainer or learner

These settings allow the system to recognize the appropriate sign-off as completion-ready for reporting purposes.

What Happens After the Update

Once the sign-off setting is adjusted:

  • On-the-Job Training progress is automatically recalculated for all affected users.

  • Learners who have already completed the OJT will show 100% completion.

  • Manager dashboards will accurately reflect full On-the-Job Training completion without any additional action needed.

This ensures alignment between learner progress, administrative oversight, and manager reporting.
