Understanding Training Visibility in Your Academy

Understanding Training Visibility is a critical step when launching and configuring your academy. Visibility determines who can see Courses, Learning paths, and Events in the platform. It does not control enrollment or completion.

This guide explains how visibility works, how categories affect it, and what Admins should keep in mind during setup, as illustrated in the Training Visibility diagram.

Key Concept: Visibility vs. Enrollment

Before diving into the setup logic, it’s important to separate two related, but different, concepts:

  • Visibility determines who can see a training item.

  • Enrollment determines who can take and complete the training.

  • Learners must still self-enroll or be assigned/registered by a Manager or Admin to complete a Course, Learning path, or Event—even if it is visible to them.

Training Types Covered

The same visibility rules apply to all major training objects:

  • Courses

  • Learning paths

  • Events

Each training item can be set to Public or Private and must belong to a category—either Without Category or a permission-based category.

Public Training Visibility

Public training is designed to be discoverable, but category permissions can narrow access.

Public Training in the “Without Category” Category

  • Visible to everyone in the academy

  • No permission restrictions apply

  • Best for:

    • Open-access training content

    • Content meant for broad audiences

Public Training in a Permission-Based Category

  • Visibility depends on category permissions

  • Only the following users can see the training:

    • Learners with permission to that category

    • Admins

    • Learners who have been explicitly assigned

  • Best for:

    • Role-based, department-based, or location-based training

    • Structuring content without making it fully private

 

Private Training Visibility

Private training is intentionally restricted and not broadly discoverable.

Private Training in the “Without Category” Category

  • Visible only to:

    • Admins

    • Learners who have been assigned or registered

  • Not discoverable by the general learner population

Private Training in a Permission-Based Category

  • Category placement does not expand visibility

  • Still visible only to:

    • Admins

    • Learners who have been assigned or registered

  • Categories in this case are used mainly for:

    • Organizational purposes

    • Admin-level content management

  • Public vs. Private defines discoverability

  • Categories refine or organize visibility

  • “Without Category” is a valid, open-access category

  • Enrollment always requires an action, even when training is visible
