Identifying Available but Unassigned Courses per Learner

At times, you may want a clear picture of which courses are available in your academy but not yet assigned to specific learners. Having this visibility helps you make informed decisions about assigning the right training to the right people, ensuring learners have access to all relevant learning opportunities.

This use case walks you through a simple and effective way to identify those courses using Schoox’s reporting capabilities.

When Would You Use This?

You might find this useful if you:

  • Want to review training gaps across learners
  • Are preparing to assign new or additional courses
  • Need to ensure learners have access to all applicable training
  • Are planning role-based or targeted training assignments

In short, this approach helps you confidently manage and optimize course assignments.

Recommended Approach: Courses Not Enrolled Report

You can easily identify available-but-unassigned courses by generating the Courses Not Enrolled Report through the Report Builder tool.

This report provides a detailed overview of course enrollment status by user and course, including whether a learner:

  • Was previously enrolled and dropped out
  • Was assigned and later unassigned
  • Was never enrolled or assigned at all

How to Interpret the Report

Once you generate the report, focus on the following fields:

  • Self Dropout
  • Unassigned

If both fields are set to “False”, this indicates that:

  • The learner has never been enrolled or assigned to that course, even though the course is available to them.

These are the courses you may want to review and consider assigning, based on the learner’s role, goals, or training requirements.

Next Steps

After identifying these courses, you can:

  • Review their relevance for each learner or group
  • Assign the appropriate training directly from the platform
  • Align course assignments with organizational or role-based learning strategies

This process allows you to take a proactive and data-driven approach to training assignments—making sure learners get the most value from your academy.

Summary

By using the Courses Not Enrolled Report, you gain clear visibility into which courses are available but not yet assigned per learner. With this insight, you can confidently move forward and assign the right training at the right time, supporting both learner growth and organizational goals.

If you regularly review this report, it can become a powerful tool in keeping your training programs aligned and up to date.
