This enhancement gives administrators and training managers with the visibility and management access to all scheduled reports for others created by any user, not only reports created by other administrators. This should help keep recurring reporting processes under control even when the original report creator is unavailable or changes role.
Users will need the Reporting and Report Builder permissions.
Enabling the Setting
To enable the setting, navigate to Academy WS > Settings > Academy filter > Reporting visibility rules.
There is now a new option, Allow admins to view and edit scheduled reports created by others.
Usage
Training Managers and users with Reporting and Report Builder permissions are now able to view all scheduled reports for others but edit only the ones they created.
Admins are now able to view all scheduled reports for others but edit not only the ones they created, but also the ones created by others.
All report management options are available for Admins:
- “Create now” button
- Download report
- Edit report
- Copy report
- Add recipients
- Remove recipients
- Delete report
Change of Ownership
Admin takes Ownership (Ownership Transfer): If an Admin edits a report created by another user and the modification results in a change to the structure of the report in a way that no longer matches the structure defined by the original owner.
When the Admin edits the structure of the report, on “Save” a modal will appear with a warning message to make sure that they are aware that the ownership of the report will change and that the original owner will not have edit access anymore.
Original Owner Retains Ownership (No Transfer): If the Admin makes modifications to non-structural elements (e.g., name, columns, recipients), or if the Admin changes the report structure in a way that the new structure still matches the structure of the original owner.
