Automatic Training Reference ID

This release introduces a system for automatically generating unique, sequential training reference IDs for core learning objects (Courses, Events, Learning Paths). 

Currently, managing and tracking training content across various tools and reports is inefficient due to the lack of a standardized, user-facing identifier. This release will enable better organization, tracking, and reporting of training assets, significantly improving administrative efficiency and providing a clear reference ID.

Academy Enablement

To enable Reference IDs in your academy, navigate to and select Custom fields in Settings under Training (Academy Workspace > Settings > Training Filter > Custom Fields)

This option is only available to those with the Manage Custom Fields permission.

Under Reference IDs, select the toggle so it displays on the right.

Configuring Reference IDs

Determine which training types you'd like to have reference IDs.

Add up to ten prefixes to be used with all types chosen above; the same prefixes will be used for all types. The prefixes can be up to five characters each.

You are able to edit and delete any existing prefix. Any existing associated IDs will be adjusted. If deleted, all existing associated IDs will be removed throughout the system. 

Associating Reference IDs

When creating course, learning path, or event (depending on your configuration), a new drop-down menu is available to associate it with one of the prefixes previously set up.

The reference ID will then appear in the item's about page.

Note:

  • When an ID is deleted, all existing IDs using that prefix are permanently wiped from both the database and the UI. If you add that same prefix back in the future, the sequence resets and starts over at 1.
  • In this release the reference ID is not searchable, meaning it will not appear in search results.
  • The reference IDs will appear in reports with a later release.
