Adding Additional Jobs to Existing Training or Resource Category Permission Rules

When managing permissions for Training or Resource Categories, you may need to update an existing permission rule to include an additional job. In some cases, after selecting the new job and saving the rule, the newly added job may not remain attached to the permission rule.

This article explains why this behavior occurs and how you can successfully configure the permission settings.

Scenario

You have already created and saved a permission rule for a Training or Resource Category. Later, you decide to edit the rule to include an additional job.

The newly added job may be associated with:

  • A specific Above Unit type, or
  • Units

If you add the job to the permission rule without also selecting at least one related Above Unit or Unit associated with that job type, the update will not be saved and the job will not remain attached to the rule.

This is expected system behavior.

Why This Happens

Some jobs in Schoox are configured to work only within a specific organizational scope.

When configuring category permissions:

  • The Job determines who can access the content.
  • The Above Unit or Unit selection determines where the permission rule applies.

If the system detects that a selected job requires an Above Unit or Unit assignment, but no matching organizational scope has been selected, the permission rule is considered incomplete. During the save process, the system automatically removes the unsupported job entry from the rule.

This ensures that permissions are always connected to a valid organizational structure.

Recommended Configuration

To successfully update permissions for Training or Resource Categories:

  1. Open the existing category permission rule.
  2. Add the appropriate job.
  3. If the Job is associated with a specific Above Unit type, select at least one Above Unit that belongs to that type.

  4. If the Job is associated only with Units, select at least one Unit before saving the permission rule.

  5. Apply the required access level:
    • Read access allows users to view content.
    • Write access allows users to add or edit content.
  6. Save the changes.

Once both the job and its associated organizational scope are selected, the updated rule will save successfully.

Best Practices

To ensure permission updates are applied smoothly:

  • Verify whether the job is tied to an Above Unit type or Units before saving.
  • Always select the corresponding organizational scope when adding new Jobs to existing rules.
