Understanding Learner Visibility in OJT Sign-Off Lists

Overview

You may find that a trainer can access a course-connected On-the-Job Training (OJT) but only sees some of the expected learners in the sign-off list.

This behavior is typically related to how learner visibility is determined within the trainer's assigned organizational scope.

Why This Happens

For a trainer to view learners in a course-connected OJT:

  • The trainer must have the appropriate OJT permissions.
  • The learner must fall within the trainer's assigned organizational hierarchy (such as Brand, Above Unit, or Unit).

If a learner belongs to a different organizational area than the trainer's assigned scope, that learner will not appear in the OJT sign-off list.

Completed OJTs and Sign-Off Behavior

The Sign-Off list is designed to show every OJT a trainer or manager has access to sign off on — not only the ones still pending. Already-completed OJTs remain listed so a trainer can return later to edit a score or assessment, upload a supporting document, or review what was submitted.

Once a manager adds an assessment or score to a learner's OJT task, that task becomes locked to the manager who performed the assessment. From that point on, only that same manager, an Admin, or a Training Manager with the appropriate permissions can complete the sign-off for that task.

The Sign-Off list includes OJTs tied to both Public and Private courses that fall within the trainer's assigned organizational scope — a course's visibility setting (Public or Private) does not affect whether its OJTs appear here.
