LINA is designed to help learners get answers, reinforce their knowledge, and apply what they've learned, all without leaving the learning experience. But because LINA only answers questions using your organization's approved training content, the quality of its responses depends entirely on the quality of the resources available in your academy.
Think of LINA as a reflection of your training library: if your content is accurate, organized, and up to date, then LINA will deliver helpful, trustworthy answers. If your content is outdated or inconsistent, those same issues may appear in LINA's responses.
Before enabling LINA, we recommend performing a simple audit of your academy resources and establishing an ongoing content governance strategy.
Start with a Content Audit
Take inventory of the learning resources currently available in your academy, including:
- PDF documents
- PowerPoint presentations
- Word documents
- Videos
- Audio files
- SCORM packages
- Other uploaded learning resources
This can quickly be done by running the following reports in Report Builder:
- Library Info Report with relevant fields like:
- Element Added Date
- Element Expiration Date
- Element Version
- Course Info Report with relevant fields like:
- Course Creation Date
- Course Published At
- Last Update to Info or Lectures
- Course Steps Info Report with relevant fields like:
- Course Creation Date
- Course Published At
Then ask yourself:
- Is this information still accurate?
- Does this resource reflect our current processes and policies?
- Is there a newer version available?
- Would I want a learner to receive this information today?
If the answer is no, consider updating, replacing, or retiring the resource before making LINA available to learners.
Remove Duplicate or Conflicting Content
One of the quickest ways to reduce answer quality is to provide multiple resources that explain the same topic differently.
During your audit, look for:
- Multiple versions of the same document
- Legacy onboarding materials
- Obsolete product or process screenshots
- Documents describing retired processes
- Older presentations that have since been updated
When possible, maintain a single source of truth for each topic. This helps ensure learners, and LINA, reference the most current information available.
Make Your Content Easy to Understand
LINA works best when your training materials clearly explain concepts and procedures.
As you review your resources, consider whether they:
- Use descriptive headings and section titles
- Explain terminology and acronyms
- Include clear step-by-step instructions when appropriate
- Focus on one primary topic rather than covering many unrelated subjects
Well-structured content is easier for learners to consume and easier for LINA to interpret and reference accurately.
Don't Rely on Video Alone
Video is an excellent learning format, but learners often ask very specific questions.
Whenever possible, supplement video courses with:
- Presentation slides
- Job aids
- Quick reference guides
- Course summaries
- Downloadable documentation
Providing multiple resource types gives LINA additional context and increases the likelihood that it can answer detailed questions effectively.
Keep Your Academy Current
Content governance isn't a one-time project.
As your products, processes, or policies evolve, make it part of your regular workflow to:
- Update existing resources
- Archive outdated materials
- Remove duplicate content
- Replace legacy documentation
- Review training after major product releases
Keeping your academy current ensures learners always receive the most relevant guidance.
A Simple Governance Checklist
Before enabling LINA—and periodically afterward—ask yourself:
- ✓ Are all training resources current?
- ✓ Have outdated or duplicate resources been removed?
- ✓ Is each topic represented by a clear, authoritative resource?
- ✓ Do videos have supporting documentation where appropriate?
- ✓ Are new processes reflected in our training materials?
- ✓ Do we have a plan to review and update content on a regular basis?
By investing a little time in content governance today, you'll help ensure that LINA delivers fast, accurate, and trustworthy answers that reinforce learning and improve the overall learner experience.
