This enhancement introduces the ability to link users together through the use of a custom field. It allows organizations to define relationships such as manager, mentor, or supervisor directly within the platform, improving visibility and usability across user management flows. The custom field appears in the user's profile, and is meant to quickly reference the relationship. For example, Individual A is Individual B's Team Lead. This can be be viewed in Individual B's profile.
This feature is not enabled by default. If you would like to utilize this functionality, please let Support or your representative know. Additionally, this feature only works in New Experience.
Creating the Custom Field
To link users by creating this specific type of custom field, navigate to the Team members custom fields (Academy Workspace > Settings > Academy filter > Custom Fields > Team members).
Then select Add field.
You'll find the new custom field at the bottom of the list (you may need to scroll down).
Select Team member from the Field Type drop-down menu.
Fill in the field name, and check the desired options.
Save when finished.
Linking Users
Navigate to the Manage Team Members page (Academy Workspace > Academy Admin > Organization > Manage Team Members).
Find the desired team member in the list, and select the associated Edit team member pencil icon.
Locate the new custom field, search for and select the appropriate individual from its drop-down list. Only one individual can be selected.
Save when finished.
Reviewing Linked Users
On the Manager Team Members page, selecting an individual's name will reveal their linked individual under Custom fields, along with their email address for easy reference.
Selecting the name will take you into their profile.
The linked individual can also be found on their profile page.
Additional Information
- This new custom field will appear while adding users to the academy via the Add Members tool, template, API, and FTP.
- This new custom field will appear as an option when running reports that utilize custom fields in the Report Builder.
