Utilizing Member QR Codes for Quick Actions

Administrators are able to generate QR codes to represent each individual in the academy. Scanning the QR codes allows managers to instantly access employee compliance, training, and certificate information, as well as assign training.

Enabling QR Codes

To enabled QR Codes in your academy, toggle the feature on in the Academy Admin Settings. If you do not see this option, please contact Support or your representative.

When enabled, the Admin can select the number of QR codes that will appear on the printable PDF, the font size, as well as what information shows alongside the QR code. By default, there can be up to four fields shown with the QR code, but choosing a larger font size may decrease that amount.

Previewing shows how the PDF will be generated using dummy data.

Generating QR Codes

On the Manage Members page, QR codes can then be generated either individually or by checking the box next to multiple individuals. Select the three-dot more menu, then Generate QR codes.

This will create a PDF that can then be printed and distributed to the team members. They could be made into stickers or added to ID badges, for example.

Generation of QR Codes will be tracked for auditing purposes.

Scanning Users' QR Codes

In the Schoox mobile app, the QR code can then be scanned in the Team tab. Tap Scan user.

This will allow the scanner to view information on the individual — including their profile, compliance status, dashboard, and ePortfolio.

The 'Scan user' option is available to Academy Admins, Training Managers, and users with a custom role that includes the 'Reporting' permission.

Assigning Using QR Codes

After generating QR codes, managers can now scan them to assign, unassign, and reassign members.

If QR codes is enabled in the academy, managers will now see the QR button in the mobile app, where available. 

Tapping the button allows the manager to scan the member's QR code, and assign them to that training.

Similar notifications will appear if the manager does not have permission to assign the training, or if the member is already assigned.

Tapping the View list button at the bottom of the screen will bring up a list of all members already scanned during this session. When finished, the manager can then tap Next step at the bottom of the list to proceed.
