Those who keep their system of record outside Schoox — an HRIS, a compliance platform, or another LMS — need every training completion in Schoox to carry the same reference number that identifies it in that external system. Schoox already supports this: a Completion External ID can be attached to a course completion so the two systems can be reconciled and so the value can be pulled into reports. Today, however, an admin can only add that ID one completion at a time, by opening each learner's record on the Team Dashboard.
This release adds a Completion External ID column to the Mass Assignment template.
- Admins can record a completion's external reference in the same bulk upload that marks the learner complete — no manual follow-up.
- Admins can back-fill the external reference onto learners who are already completed, in bulk, rather than editing each record by hand — the key enabler for one-time historical reconciliation.
- Large data migrations and recurring external-system syncs become a single-step operation.
- Completions imported (or back-filled) in bulk carry the same external reference as those edited manually, so downstream reports (which already expose the Completion External ID) are consistent regardless of how the completion was recorded.
The feature includes:
- A new Completion External ID column in the downloadable Courses Mass Assignment template (all variants).
- Upload processing that reads the new column, validates it, and stamps the Completion External ID on the completion it records for that learner.
- Back-fill support: applying the Completion External ID to a learner's existing/current completion when they are already marked complete, not only to completions the upload newly creates.
- Updated per-row results reporting so the admin can see, per row, whether the Completion External ID was stored (applied or back-filled) and the row's overall outcome (success / skipped / error).
- One new audit entry (under the Course label) for adding a Completion External ID — triggered by both the manual Team Dashboard edit and the bulk template (there is no audit today).
