Understanding Attendance Rate Calculations for Virtual Events

If the attendance rate or attendance status shown for a virtual event doesn't match what you expect, this article explains how attendance is calculated on the Registrants page and how registrants who are completed by equivalency are counted.

In-Class vs. Virtual Event Attendance

For in-class events, the attendance numbers shown in reports match the numbers shown on the Registrants page: a registrant is counted as attended or absent based on the status recorded when attendance was taken.

For virtual events, attendance works differently. Rather than a simple attended/absent count, the event's attendance rate is based on the ratio of total watched time to total potential (scheduled) time, added up across all confirmed registrants (registrants who accepted their invitation and were not removed).

Registrants Completed by Equivalency

A registrant can be marked as completed by equivalency when their completion is credited through an equivalent event rather than through live attendance. For virtual events, these registrants are:

  • Never classified or counted as Absent
  • Credited with full attendance time equal to the event's duration
  • Counted as Attended for attendance rate purposes
  • Shown with a Completed by Equivalent indicator on the Registrants page, so they remain visually distinguishable from registrants who attended the live session

When Attendance Is Displayed

Both in-class and virtual events show attendance only once the event's status is Completed. Attendance is not shown while an event is still in progress or otherwise not yet marked Completed.

Where to Review Attendance Data

To review attendance and attendance rate for a virtual event, go to the Team Workspace, select Instructor-Led Training, locate the event's offering, and in the three-dot menu select Manage Registrants (or Manage Participants for invitation-based events).
