Setting Up Custom Roles and Permissions

This guide shows you how to find your academy's roles, choose the permissions for a custom role, and assign that role to your team members.

Prerequisites

  • You are an Admin in your academy.

Understanding Custom Roles

Every academy comes with predefined roles, such as Admins, Training Managers, Content Managers, Professional Instructors, HR Managers, and Hourly Workers. Custom roles are roles you set up yourself, with the permissions you choose.

Finding the Roles Page

1. Open the Academy Workspace

In the left navigation, make sure you are in the Academy Workspace.

2. Open Manage Jobs

Select Academy Admin for all academy administration options. Select Organization and then Manage Jobs.

3. Select the Roles Tab

Select the Roles tab to see all predefined and custom roles in your academy.

Adding a Custom Role

1. Select Add role

2. Type in the name of the custom role, and save.

Choosing Permissions for a Custom Role

1. Open the Role's Settings

On the Roles tab, open the custom role's settings by selecting its arrow.

2. Select the Permissions

Select the permissions that this role needs. Some permissions depend on others. For example, Assess OJT performance appears greyed out until the Reporting permission is selected, so enable Reporting first.

3. Save the Role

Save your changes. Everyone assigned to this custom role receives the permissions you selected.

Assigning a Custom Role to a Team Member

1. Open Manage Team Members

In the Academy Workspace, select Academy Admin, then Organization, and then Manage Team Members.

2. Edit the Team Member

Select Edit team member (the pencil icon) next to the user's name and review the roles currently assigned in the Roles column.

3. Choose the Custom Role

In the pop-up window, choose Custom Role, select the role from the dropdown menu, and Save to apply the change.
