Monitoring The Onboarding Process

When you have onboarding profiles set up, you can check the progress of the learners you have reporting permissions for in the Onboarding Dashboard of My Team Dashboard.

Navigation

In the left navigation, make sure you are in the Team Workspace.

When in the Team Workspace, select My Team Dashboard and then select Onboarding.

The Onboarding Dashboard

The main page of the onboarding dashboard shows you the summary of the onboarding activity for learners you have reporting permissions for.

Avg. Onboarding Employees: The average number of employees per onboarding profile. This is all employees in an onboarding profile, divided by all onboarding profiles.

Avg. On time Completion: The average On time completion. This is the average on time completion per onboarding profile, divided by all onboarding profiles.

Avg. Training Completion: The average Training Completion. This is the average training completion per onboarding profile, divided by all onboarding profiles.

Further, you can see the following information:

  • The total number of the onboarding profiles
  • The average duration of all onboarding profiles
  • The onboarding profiles in your academy
  • The amount of employees in each onboarding profile
  • The training completion for each onboarding profile

By selecting one of the profiles, you can drill down to check the training statistics for the selected onboarding profile for any training material entered in the profile.

You can also use the filtering options at the top of the page in order to display a list of the employees that are part of the onboarding profile, the past employees that were included in the onboarding profile prior to their deactivation, and/or job-change, etc.

More specifically, you have the following filtering options:

  • Active onboarding employees: Contains all users that are active within the onboarding process.
  • Past onboarded employees: Contains all users that were active within the onboarding process but they are not anymore due to a job change or hierarchy change.
  • Past employees: Contains all users that got into the onboarding process but got deactivated from the academy.

Monitoring the time-based flow

For the time-based flow, you have the option to select a specific day or week to see which employees are at this stage after the onboarding assignment.

Once you select a training included in the profile, the list will be filtered to display the progress and the delay for each employee that had the selected training assigned, as well as each employee's current day or week in the onboarding process.

Monitoring the activity-based flow

For the activity-based flow, you have the option to select a specific level to see which employees have reached this level of the onboarding plan. For these users, you can see their progress and the time they took to complete the training. 

Screenshot_40.pngNote: All percentage calculations only apply to assigned training. Training that is added as "Invite to Enroll" is not included in the total stats calculation. Moreover, stats are not displayed for the "Invite to Enroll" activities, and they cannot be selected to view user progress.

Further Information

When looking at the onboarding process, there are a few numbers and colors to be aware of.

On the top you can see the Completed and Delayed percentages. These numbers are used throughout the dashboard. These calculate the completion and delay rates, either for the training or the entire profile, depending where you are look. For Activity-based trainings, the delayed rate will always be at zero percent, seeing that there is no due date for those.

it can show in three different colors. These colors show whether the user has completed the onboarding.

  • When users have completed their onboarding without delay then a message is displayed in green color
  • When users have not completed their training and the due date has passed then a message is displayed in red color
  • When users have not completed their training and the due date have not passed then a message is displayed in orange color

Under Reasons you can see how the training got assigned, which may explain why the user may not have finished the onboarding. They could have finished the training before the onboarding.

  • Onboarding Process: Displayed when the training was assigned by the onboarding process
  • Assigned by Rule: Displayed when the training was assigned to user from an advanced assignment rule.
  • Assigned by Manager: Displayed when training was assigned to user by individual manual assignment.
  • Self-enrollment: Displayed when training was assigned to the user by self-enrollment.
