If you are an administrator and have bought a subscription plan, you can then allocate those licenses to the members of your academy.
Navigation
In the left navigation, make sure you are in the Academy Workspace.
When in the Academy Workspace, select the Training Admin.
Here, select External Courses -> Licenses.
Allocating Licenses
Here, you can see all your current subscriptions, their expiration date, and the total quota as well as the used quota. Click on the Subscription you want to assign to start assigning users.
By selecting your subscription, you will see a list of your Academy's students. You can allocate licenses by selecting users manually, under Individual subscription. Click the '+' symbol to select the users, then click Subscribe.
You have also the option to use the Advanced subscription page and allocate licenses to users based on an Organizational Template or their job and location.
Expired Subscriptions
As an admin, you may still see expired package subscriptions in the subscriptions list. However, once a package subscription has expired, you will no longer be able to assign or remove licenses for that package. The related assign/remove license options will not be available, and direct access to those pages will be restricted.
Assigning Licensed Material
In addition to standard training materials, learners can also be assigned licensed coursework. The process for assigning licensed courses is the same as assigning other types of content.
If you'd like to streamline license distribution, you can enable an academy setting that automatically allocates licenses when learners are assigned to a licensed course.
To enable this feature:
Navigate to Academy Workspace.
When in the Academy Workspace, select Settings.
2. Locate the Give Out Licenses Automatically option and move the toggle to the right to turn it on.
Note: This setting will only appear if your academy includes at least one licensed course.
Deactivated Users
- When a user is deactivated, any licenses for purchased courses return to the academy. If the user gets reactivated, the user would need to be re-allocated the license.
- Reactivated users can see old licensing courses under 'Drop out courses'. Unless they are re-allocated a license, they cannot access this course. If they are re-allocated, any previous progress and completions remain as before the deactivation.
