Release Date 28 May
This update enhances how reassignments function after a learner is reactivated; the adjustments are all completely behind the scenes, and are not visible as changes to the actual user interface.
This update attempts to make the reassignment process more robust by preventing unnecessary course reassignment for learners who have already completed their training or were recently assigned courses.
When setting up an automated reassignment rule, the logic has been adjusted as described below based on the combination used of the following fields:
- Reassign to users that were deactivated for more than ___ months
- Include users that have not completed the course
- Exclude users that completed the course
- Reassign to users that were deactivated for more than ____ months now reflects only the latest time the user was deactivated. For example, a user has had time away twice in the last year, the first for four weeks and the second for two. The system will no longer pay attention to the initial month that they were deactivated, only that they were inactive for two weeks.
- The reassign rule will now be triggered by the reactivation directly. There has been cases where learners were reassigned coursework twice, due to lapses in the time frame.
-
Audits and reports will reflect why the learner was reassigned.
NOTE: The current rule criteria will be taken into account at the point when a user is reactivated; rules are never retroactive.
For example:
Step 1: The user has been assigned a course and has completed it on April 6
Step 2: User is deactivated on April 7
Step 3:
A rule is created on May 8 with the following setup:
Reassign to users that were deactivated for more than 1 month
Include users that have not completed the course = False
Exclude users that completed the course After April 05 (current date - 3 days, one month before)
(based on this setup, the user should be excluded from the reassignment upon reactivation)
Step 4:
The rule is edited on May 9 to the following:
Reassign to users that were deactivated for more than 1 month
Include users that have not completed the course = False
Exclude users that completed the course After 04/07/2025
(the user should be reassigned with the course upon reactivation)
Step 5: User A gets reactivated on May 12
Step 6: User is automatically and immediately reassigned the course based on that the latest edited rule
