How Course Options Are Displayed in Course-Oriented Reports in Report Builder

When building course-oriented reports using the Report Builder, it's important to understand how the system displays available course options in the Report Options field. This article explains the functionality and expected behavior, especially for academies with a large number of courses.

Overview

In course-oriented reports (e.g., Courses Report, Courses All Time Report, etc.), the Report Options dropdown list allows you to select one or more courses to include in your report. However, to optimize performance and usability, the system follows specific rules when displaying the course list.

How the 'Report Options' Dropdown List Works

  1. Default Display Limit (50 items):
When you click on the Report Options dropdown, by default only the first 50 items are displayed.

    • This design ensures a faster load time, especially for academies with thousands of courses.

    • For example, if your academy has 10,000 courses, loading all of them at once would cause delays, so the system limits the initial list to 50 items.

  2. Search Behavior – Expanded Results:
If you search for a specific term (e.g., "course") and your academy has more than 50 items that match, all matching items will appear in the dropdown.

    • For instance, if 100 courses contain the word "course" in their title, all 100 will show in the results.

  3. Combining Searched and Default Items:
After selecting one or more items from a search, they are added to the default list of 50 items.

    • Example: If you search for "curricula" and select 2 results, and then reopen the dropdown, you'll see the original 50 items plus the 2 selected ones.

  4. Sorting Order:
The course list shown in the Report Options field is sorted by the course creation date.

Key Takeaways

  • The system is optimized to display a manageable number of items for better performance.

  • Use the search function to locate specific courses not shown in the default list.

  • Selected items from a search will remain visible along with the initial default set.

  • Course display order is based on creation date, not alphabetical or usage frequency.
