Event Waiting Lists

When creating a new in-class or virtual event, you have the option to enable a Waiting List. When this option is enabled and the maximum number of attendees has been reached, users can reserve a spot on the waiting list. If a registered participant cancels their registration, or if an admin increases the attendee limit, users on the waiting list will be automatically registered in the order they joined.

If a spot becomes available, the system automatically confirms the next user from the waiting list, even if the session deadline has already passed.

How to review the Waiting List

  • Navigate to Team Workspace and select Instructor-Led Training.

  • Apply the Waiting List filter and choose Yes from the options.

  • The list of events will display an additional option labeled Waiting List.

  • This link will be active only if there are users pending registration.

From this page, you can approve or decline a user’s registration request.

Notes:

  • If you are a Manager with the Manage Event Members permission enabled, you can approve or decline participant requests only for users within your organizational structure.
  • Manage event members permission: This permission allows you to manage users listed on an event’s Registrants page. Training Managers can manage event registrants only if the Manage Participants permission is enabled for their role.
  • Register members to events after the registration deadline: This permission enables you to add users to the registrants' page after the registration deadline has passed. Please note that this permission can only be enabled if the "Register Members to Events" permission is already activated.
