Send Scheduled Reports to Recipients Without Permissions

This release adds the ability to send reports to individuals who may not necessarily have the permission to view them. For example, there may be manager that does not normally have reporting permissions; or they may have reporting permissions, but not the ability to see individuals included in the report due to their place in the organizational structure.

Enabling in the Academy

To enable this feature in your academy, navigate to the Academy Workspace > Academy Admin > Settings > Control Panel.

Under Reporting visibility rules, toggle on All team members without permissions to receive scheduled reports, and save.

Scheduling Reports

When scheduling a report in the Report Builder, you'll now have an additional option — All team members.

Selecting this option will allow the sender to select those without the usual permissions in the next step, and they will be labeled as such.

Users without reporting permissions will receive the reports via email notification, where they can download the report but will not be able to view it within the academy itself.

Notes: 

  • If the scheduled report is edited and the option changed, the recipient list will be reset. The recipients will need to be reselected.
  • Scheduled reports cannot be accessed directly from email notifications without authentication. All users must first log in to their Schoox account in order to access the report. Users with reporting permissions can either download the report or view it in Report Builder, while users without reporting permissions are limited to downloading the report only.
