Assisting Team Members with Unconfirmed Email Addresses

As an admin, you play an essential role in ensuring your team members get started smoothly in your academy. Occasionally, you may notice that certain users show the status “Email address has not been confirmed yet.” in the Email field of their profile when accessing the Edit Team Member option from the Manage Members page.

This indicates that they have not yet completed the email confirmation process required to receive important system notifications.

This article will walk you through how to identify those users and how to guide them in confirming their email addresses so they can fully engage with the platform.
 

Use Case Scenario

You’d like to send reminders or introductory messages to your team members who haven’t yet confirmed their email addresses. Confirming an email address ensures that users receive important system notifications, such as training-related updates. To help them complete this process, you first need a way to identify who still needs to confirm their email, and then provide them with clear instructions on how to do so.

Recommended Approach

The best way to support your team in this situation involves two simple steps:

  1. Identifying users with unconfirmed email addresses, and

  2. Guiding them to resend the confirmation email from their own account.

 

Step 1: Identify Users with Unconfirmed Email Addresses

To quickly find which team members still need to confirm their email, you can use the Report Builder tool:

  1. Access Report Builder: Go to the Team Workspace, open Reporting, and then select Report Builder.

  2. Create a New Report: Choose Report Builder and click Create New Report.

  3. Select Members Report: Choose the Members Report type.

  4. Filter by Email Confirmation Status:

    • Add the field Confirmed Email to your report.

    • Set the value to False.

This report will display all users whose email addresses have not yet been confirmed, giving you a clear view of who may need your assistance.

 

Step 2: Guide Users to Resend the Confirmation Email

Once you’ve identified these users, you can encourage them to confirm their email by following the simple on-screen prompt when they log in.

  • System Notification: When a user with an unconfirmed email logs in, a message appears at the top of their page.

  • Send Confirmation Button: This message includes a “Send Confirmation” button.

  • User Action: When they click the button, a new confirmation email is immediately sent to their inbox.

After completing the confirmation process from their email, they’ll start receiving all relevant system notifications seamlessly.
