Overview
You may occasionally want to involve an employee in the performance review process as a Co‑Planner, even if that person is not a Head of and does not manage employees directly. This use case explains how you can confidently do that in Schoox, while keeping your organizational structure and reporting intact.
The good news is that the platform is flexible enough to support this scenario with a simple configuration step—no changes to organizational structure are required.
When Would You Use This?
This approach is helpful when:
- You want to collaborate on performance reviews with a subject‑matter expert, HR partner, or senior contributor.
- The employee should help plan or contribute to reviews but should not appear as a manager in reporting.
- You want to avoid long‑term impacts on organizational structure or future assignments.
How Co‑Planner Access Works
Being a Co‑Planner is not tied to the Head of role. Instead, Co‑Planner access is controlled by permissions.
To enable an employee to act as a Co‑Planner, you only need to ensure that their job role includes the Performance Reviews permission.
That’s it—no direct reports, team ownership, or managerial designation is required.
Recommended Setup
To designate an employee as a Co‑Planner without making them a Head of:
- Navigate to Jobs tab in the Set Up Organization page.
- Identify the job assigned to the employee who should act as a Co‑Planner.
- Enable the Performance Reviews permission for that job.
- Save your changes.
Once this permission is active, the employee can be selected as a Co‑Planner at the Performance Review level, working alongside the Head of.
Why This Works Well
- Maintains a clear organizational hierarchy
- Prevents unintended impacts on reporting and assignments
- Provides flexibility for collaborative review planning
