Use Case Overview
You may sometimes need to adjust attendance records for a Live Virtual Event that is connected to a course, whether that’s through a mass upload or a manual update. When you do, it’s helpful to understand how these changes affect event completion versus course completion.
This article walks you through what you can expect to see in common scenarios and explains how the platform is designed to behave, so you can manage updates with confidence.
Key Concepts to Keep in Mind
Before diving into the scenarios, here are a few important principles that apply across the board:
- A course completion is preserved once it is earned.
- Updating or resetting a course step (such as an event or an On-the-Job Training) does not automatically remove the course completion.
- A course completion is only removed when a reassignment action is applied.
- Individual steps within a course can lose their completion status if their underlying requirements are reset (for example, attendance is removed from an event).
With that in mind, let’s look at how this plays out in practice.
Scenario A: Attendance Updated After a Mass Attendance Upload
What happens
- You upload a template to mass mark users as attended for a Live Virtual event.
- You later update the event and set a user’s attended time to 0 minutes.
- The user’s event completion percentage drops to 0%.
- The course completion remains unchanged.
Why this makes sense
The event is a step within the course. When the attended time is updated, the event no longer meets its completion requirement, so its completion percentage is recalculated and drops accordingly. Any existing course completion remains in place.
Scenario B: Attendance Reset After Course Completion
What happens
- You manually mark a user as 100% attended for the event.
- The user earns course completion.
- At a later time, you update the event attendance and set it to 0 minutes.
- The event completion percentage drops to 0%.
- The course completion and any associated certificate remain in place.
Why this makes sense
Once a course is completed, the platform does not automatically revoke that completion, even if a step inside the course is later adjusted. This ensures stability in learning records and certificates unless you explicitly require the learner to retake the course.
Scenario C: Course Completion via Equivalency
What happens
- A course is marked complete through an equivalency.
- You upload a template to mass mark event attendance.
- You later reset attendance to 0 minutes for the event.
- The user’s event completion percentage drops to 0%.
- The course completion remains unchanged.
Why this makes sense
In this case, the course completion was earned through equivalency rather than the event itself. Updating event attendance affects only that event step and does not impact the already-established course completion.
Recommended Guidance
When managing events that are part of a course, keep the following best practices in mind:
- Feel comfortable adjusting event attendance when needed—this will correctly update the event’s completion status.
- Remember that course completions are intentionally protected to ensure accurate historical records.
- If you need learners to complete the course again, use the Reassignment action. This is the only action that removes an existing course completion and certificate.
In Summary
If you update or reset attendance for an event:
- The event may lose its completion.
- The course will remain complete unless a reassignment is applied.
This consistent behavior helps you maintain reliable course records while still giving you flexibility to manage individual learning steps.
If you apply these principles, you’ll know exactly what to expect when handling similar scenarios in the future.
