Updated Onboarding Experience — Team Workspace

This release updates the Onboarding experience in the Team Workspace to better align with the New Experience design language.

Activities are now known as Tasks. Instead of Activity-based flows, they are now known as Task-based flows.

UI Changes

Both the profiles and the templates on the Onboarding page (Team Workspace > Self-Paced Training > Onboarding) can now be filtered or searched to more easily find the specific item. Profiles can be filtered by criteria and by status, templates can be filtered by criteria.

Profiles

Each profile contains the profile name (sortable), what the profile is based on, and status. The profile can be deleted and edited. 

Selecting the pencil icon will allow for editing of the profile.

Activity based flows show the activities as they are needed to be completed.

Time based flows allow for editing via schedule and calendar view.

Selecting Edit profile allows for editing of the profile's name and associated organizational elements.

Create a new profile by selecting Create profile at the top of the page.

Templates

Each template contains the template name (sortable), what the template is based on, and the option to create a profile out of the template. The template can be deleted and edited. 

Selecting the template's pencil icon will allow for editing of the template.

Create a new template by selecting Create template at the top of the page.

Additional Functionality Changes

  • Messages will no longer be sent to participants. Only announcements will be used to communicate with participants. This is meant to minimize communication overload and possible confusion.
  • The options of the sender dropdown will now be the following:
    • Administrator, meaning the academy's super admin
    • creator of the profile/template,
    • direct supervisor of the assignee
    • custom text field
  • The definition of what onboarding completion means has been clarified.
    • A user is considered "onboarding completed" when their training completion rate reaches 100%. Once completed, any subsequent tasks added or edited in the profile will not affect their completion rate — they're locked in as done.
    • The completion rate formula depends on the profile type:
      • Profiles that include time-based flow: (Training items completed by the learner ÷ Total training items in the profile) AND the learner has reached the last day/week of the time-based flow.
      • Profiles without time-based flow (task-based only): Training items completed by the learner ÷ Total training items in the profile.
      • Only assignment-type items (courses, microlearning courses, learning paths) count toward the calculation. Invitation-type items and announcements are excluded.
      • If a user's onboarding is not yet completed, adding/editing/deleting activities in the profile will affect their completion rate accordingly.
      • If a course/LP is added or replaced in a step the user has already passed, it gets assigned (or invited) at the user's current step.
  • What it means to drop out of an onboarding profile has been clarified:
    • When an assignee is deactivated
    • When an assignee gets unassigned form an onboarding training item
  • Profile dates have been made editable
