What is the new Schoox user experience?
Schoox is building on our legacy of industry firsts by unveiling the next generation of our people-first learning platform. This latest innovation advances the platform with the introduction of workspaces, a reimagined learner experience, immersive course experiences, re-imagined social workspace, AI-powered skills development and microlearning, and a host of other exciting features designed to empower learners of all backgrounds.
Will my data (users, course progress, etc) be the same in both experiences?
We're making your transition to the new Schoox experience smoother by using a single database for both the new and legacy versions. This means you'll benefit from several advantages:
- Consistent Data: All your existing data, including uploaded courses, reports, and integrations, will automatically be available in the new experience. There's no need to worry about transferring information or re-uploading content. The only exception to this is certain branding elements (like the academy logo in the new experience is different dimensions than the logo in the legacy experience. - No Re-implementation Hassle: Since we're using a single database, you won't need to go through a complex "re-implementation" process for your integrations. This saves you time and ensures your existing tools continue to work seamlessly.

As an admin, why do I have to switch workspaces to do certain activities?
Workspaces are designed to streamline your workflow and help you zero in on specific tasks. Imagine you log in with a single goal in mind. Workspaces make it easy to navigate directly to the relevant section of the platform with the tools and information you need to complete that task, all in one place. By organizing content into workspaces, we eliminate clutter and distractions. This ensures only the essential information is front and center, allowing you to focus on what truly matters—completing your task efficiently.
Why are settings and notifications split into different workspaces?
The previous admin navigation menu was lengthy and packed with options, making it difficult to find specific settings quickly. We listened to your feedback and streamlined your experience by organizing functionality into logical workspaces. Now, you can easily locate the setting or notification you need because it's grouped with related tasks within the relevant workspace.
Will I be able to configure my learner’s homepage like we did in the legacy experience?
We have reimagined and simplified the homepage experience for learners and effectively eliminated the need for a customizable homepage with gadgets. Our most used gadgets are now integrated throughout the platform in different ways. For example, upon login learners will see the My Training page which includes streams of content or courses that are Overdue, In Progress, and more. There is now a dedicated page to view the Calendar. You also have the option to configure the right sidebar to add shortcuts or links to important content, announcements, or information in the system. Will I be able to change back my academy labels if I preferred the previous terminology?
Yes. We have made some terminology changes with the new user experience to align with industry standards and familiar language. But if you utilize custom labels in your academy, those will remain unchanged in the new user experience. Additionally, existing terminology will remain as custom labels, so that you may not even notice that they've been updated. For example, "Curriculum" will become a custom label if you used Curriculum as a default label in the legacy experience. Learn more about replacing academy labels.
Is the toggle to switch back and forth between legacy and new experience for everyone or just admins?
It’s only available for admins. All academy administrators will get access to the new experience depending on which Cohort they are part of. This access will give them a chance to explore the new design and plan their learner rollout. Starting March 31, once they are ready to enable it for the rest of the organization, they work with their Schoox CSM and set an entire academy transition date. After that, the new experience will be applied academy-wide.
Why won’t learners be able to “try” the new experience by switching back and forth like admins?
We’ve decided to limit the toggle option to administrators to ensure a smooth, organized rollout for the academy. Allowing learners to toggle back and forth could lead to support complications, as it would be difficult to track which UI each learner is using. By setting one clear transition date for the entire academy, agreed upon by the organization's primary contact and Schoox, we can create a more consistent experience for everyone.
What help resources are available to help me get comfortable with the new user experience?
We understand that adjusting to a new interface can take some time. To ensure a smooth transition, we're providing a variety of resources to help you get comfortable with the new Schoox experience:
- Updated Knowledge Base: We've revamped our Knowledge Base with a focus on the new user experience. You'll find a comprehensive collection of articles (600 included) that walk you through workflows and how-to's, all reflecting the new navigation and interface.
- In-app Guides: Need quick help within the platform? Look for the in-app guides with the help button! These offer step-by-step instructions to guide you to specific information or actions you need to take.
- Job Aids: We've developed job aids, which are customizable templates you can use for end-user communication and training. These can be adapted for learners, managers, or admins, depending on your needs.
- Training: Additionally, we have created a new training program that will be available to you as a Learning Path within your academy. It features videos, content, links to support your transition and exploration of the new user experience.

Is there a timeline for how long the legacy experience will be available?
The timeline is flexible and customer-driven. Admins will be able to switch between the legacy and new user experiences throughout the development of the new experience. Schoox will monitor adoption and, once all customer admins have had sufficient time to explore the new experience, will decide on an appropriate timeline for deprecating the legacy experience. Ample notice will be provided to support a smooth change management process.
How long will I have to update my job aids and materials?
We understand the importance of a smooth transition to the new experience. That's why we've provided you with several resources to help you learn at your own pace and make the switch on your schedule:
- Ample Time to Learn: Our approach to enabling the new experience for customers gives you plenty of time to explore the new system and get comfortable with its features.
- Control Over Rollout: You have the control and can decide when to plan and transition your organization to the new experience. This ensures you can prepare your learners and managers beforehand.
- Job Aids at Your Fingertips: We've developed a library of job aids (around 20) that you can easily adapt and repurpose for learners, managers, and other admins within your organization. These job aids serve as a valuable starting point, saving you time and effort in creating training materials.

What is the development timeline for the mobile application?
A new Schoox mobile application featuring the new user experience is set to launch in app stores at the end of January 2025. The first iteration of the new mobile app will include Phases A and B1 (Navigation and Learner Workspace), with a fast follow enhancement with Microlearning. Admins will be able to download and try out the new mobile application during the exploratory phase when they can switch between user experiences. When admins plan for an entire academy transition date (which applies the new experience for all users, including learners), users will only be able to use the new Schoox mobile application and will no longer be able to access the Schoox Classic application.
What can we expect in future phases of development? When can we expect future releases?
Schoox releases monthly enhancements to the platform. In 2025, we expect to have completed the redesign of the remaining workspaces (primarily for Training Manager and Admin user personas). This includes the Team, Academy, Business Impact, and Marketplace workspaces.
