Understanding Event Visibility Differences

When working with events, you might notice that event visibility can differ depending on where you access them in the platform. This is expected behavior and is designed to align with your assigned role and permissions.

What you may observe

If you are assigned the Training Manager role with permissions such as “Invite/register members” and “Manage Participants”, your access is focused on participant management.

With these permissions in place, your experience across different workspaces may look like this:

  • In the Team Workspace → Instructor-Led Training page, you can view the full list of available events.
  • In the Academy Workspace → Training Admin → Virtual Events page, you may see only a subset of those events.

Why this happens

Each workspace serves a different purpose and respects your permission level accordingly:

  • The Team Workspace displays events based on your visibility permissions, such as access to specific categories or access granted through your assigned role. Within the events you can view, your available actions depend on your role permissions, such as inviting or registering members.
  • The Academy Workspace → Training Admin area focuses on event management capabilities (such as creating or editing events). Since your role does not include permissions for creating or editing events, the platform displays only the events that are directly relevant to you, such as those where you are assigned as an instructor.

How to approach this

If you are a Training Manager and need to view and manage participants across the events available to you, you can do so from the Team Workspace → Instructor-Led Training page.

If your responsibilities expand to include creating or editing events, you may want to review your role permissions with your administrator to ensure you have the appropriate access in the Academy Workspace.
