Roles: Admin, Training Admin Permissions: Create Standalone On-the-Job Training |
On-the-Job Training functions as a checklist of various tasks that need to be completed, either on the floor, or remotely. This article will explain how to add tasks to existing On-the-Job Training.
Navigation
In the left navigation, make sure you are in the Academy Workspace.
When in the Academy Workspace, select Training Admin for all Training Administration options.
Select Manage Training and then select On-the-Job Training.
Select the On-the-Job Training you would like to add or edit tasks for from this list.
Adding a New Task
- Select Edit Task from either the Quick Tools or the On-the-Job Training Panel.
- Select Create Task
This allows you to create a new task.

Task Type: |
Sign Off Task: Tasks that can be simply checked off when completed. No further verification is needed from the learner. After the upload, the task is considered complete, and the managers can download the assignments, review them, and rate them. Please note that for home assignments, only the files of one of the following types can be uploaded: .zip, .rar, .3gp, .avi, .flv, .m4v, .mkv, .mov, .mp4, .mpeg, .mpg, .ogv, .webm, .wmv, .jpg, .jpeg, .png, .pdf, .doc, .docx, .ppt, .pptx, .xls, .xlsx, .txt, .mp3, .m4a Open Question: Tasks that are open questions. The learner needs to write their answer to complete the task. |
Description |
Give the task a description. The character limit is 2,500 simple characters. Any markup used can reduce the character limit due to formatting. |
Estimated Time Required for Task Completion |
If the On-the-Job Training is connected to a course, this time will be added to the time spent on the course after completion. Admins/Training Managers can change this upon sign-off |
Trainers must provide the actual time needed to complete the task |
Trainers must give the time the learner spent on this task |
Admin Task |
Only admins can sign off on this task. Managers who do not have the Academy Admin role can not sign off at all, no matter their permissions. |
Single Account Sign-Off (only for Task with Signature) |
Allows learners to sign-off on the training from the trainers account. This is often used when the On-the-Job Training is in-person and learners will sign off on the trainers device. |

- Select Save New Task to save the task to the On-the-Job Training
For Course-Connected On-the-Job Training, you have the option to create a Task Pool when creating a new task, allowing you to easily reuse the same tasks across multiple On-the-Job Trainings. To learn more about this read: Creating Task Pools for Course-Connected On the Job Trainings
Uploading Instructions
After the task is created, you can upload instructions to the task.
- Add URL Instructions: Add an external website where users can find the instructions
- Upload Instructions: Upload the instructions from your device
- Add Instructions from Resources: Upload the instructions from your Academy Resources
Associate Task with Skills
Skills are a powerful tool in Schoox to track career growth and progress towards different career paths. If skills are enabled, you can connect your On-the-Job Training task to skills. When users complete the On-the-Job Training, they can then get assessed for this skill - and use this to see their growth.
- Click on Associate with skills
- Select the skills you want to add from the Academy Skills
- Click the x
on the top right to save.
