Managing my Academy's Compliance Courses

The specifics of compliance differ from academy to academy.  However, in Schoox you can mark courses as Compliance Courses, and then track compliance in your academy.

Designating Compliance

You can easily label a course a compliance course while creating it, by simply selecting Yes under Compliance Course.

This can be easily done after the creation of a course as well. 

In the left navigation, make sure you are in the Admin Workspace.

When in the Admin Workspace, select Training Admin for all Training Administration options. 

Select Manage Training and then select Courses.

Here, select the course you want to manage.

In the course panel, select General details, either from the right menu under the Edit Course tab, or from the Quick Tools on the right.

Scroll down and check Yes under the Compliance course.

Optionally, you can add the course to a separate, Compliance Courses category, as well, to further distinguish it.

For your compliance courses you can select whether you want them to award a certificate or not.

If your course is set up to award a certificate, then all users who have an active certificate will be considered compliant. If your course is set up to not award a certificate, then all users who have an active completion (100% progress) will be considered compliant. 

The Compliance Dashboard

Compliance courses have their own dashboard.

In the left navigation, make sure you are in the Team Workspace.

When in the Team Workspace, select My Team Dashboard and then select Compliance.

At the top of the page, select either the Training or Employee tab.

Once you select the desired type of Dashboard, you can either see Compliance by Course option, to review the stats of your Compliance Courses.

 

A. Training-Compliance Dashboard by Course

At the top of this page, you can see the compliance score of your academy as well as the last time that the stats were updated. In order to refresh the stats, just click on the relevant field, as shown in the image below:

  1. Compliance courses: the total number of compliance courses in your academy
  2. Total Employees: the number of employees enrolled in the compliance courses of your academy
  3. Compliant: the number of employees that are considered compliant in all the compliance courses
  4. Non - compliant: the number of employees who are not considered compliant, as mentioned above

You can limit this information for a particular Course by clicking on the course you want to check. To find the course you need just use the search bar or filter by category:

Here, all numbers reflect the employees enrolled in the specific course. Therefore, Total Employees indicates the total number of employees enrolled in the course, Compliant the number of those who have 100% progress in this course or an active certificate, and so on. 

If you scroll down, you can also see the progress of each employee individually. This information is also gathered in the Employee Dashboard.

B. Employees-Compliance Dashboard by Employee

At the top of this page, you can find information such as:

  1. Total Employees: the number of employees enrolled in at least one of the compliance courses of your academy
  2. Compliant: the number of employees that are considered compliant in all the compliance courses
  3. Non - compliant: the number of employees who are not considered compliant

Moreover, if you scroll down, you can also see the progress of each employee individually, the total number of courses, the compliance rate, and the total time spent as well, per employee.

By selecting one of the profiles, you can also drill down to checking the user progress per compliance course.
